NOTES OF MEETING HELD ON 6th May 2026 AT 1PM

Frank Curtis welcomed everybody to the meeting.
Finance Report.
LAR advised that the current balance stands at £621.75 as £20 had been received from the sale of ‘hedgehogs’ at GH reception and suggested that we might wish to consider expenditure of £300 or so, on something that will benefit patient care.
Practice Updates
The Practice Managers from each surgery reported as follows:-
Greystone House – Fran Lemanska
- Staffing update – New staff have been recruited (including herself), plus three new receptionists, one workflow administrator. There are three clinician vacancies at present for a GP, an Advanced Nurse Practitioner and a Physician Assistant.
- Patient demand is unmanageable at present, we encourage more patients to use the website to complete online forms for both admin and clinical issues going forward. The telephone option is still available for those who are not able to use online services.
- Prescription requests are no longer accepted over the phone as this poses a serious safety risk. NHS App, online form via website, popping into the surgery to fill out a paper request or posting a request to us via Royal Mail are all options available.
- GH are considering the implementation of a software package (Emma or a similar) to support with the managing of incoming calls. This should significantly reduce call waiting time and improve efficiency.
- Dementia Choir – Meets at All Saints Church, Merstham first Friday every month 12:30 for 13:00 start. Dementia Choir concert is scheduled for 22nd July- starts 7:30pm. Dr Sanderson (GP partner) will be playing piano. All are welcome.
- Lung Cancer Screening – Patients aged between 55-74 that have ever smoked will receive an invitation for this screening.
Moat House Surgery (MH) – Nicola Brown
· Dr Hamzah Khokar will be joining us on 18th May as a salaried GP. Dr Rameez Shahzad who is currently completing his training with us will be staying on post qualification to become a salaried GP from October.
· Dr Prasanna Ganeshan who is also training with us will be staying on as a salaried GP at Greystone House Surgery. JC clarified that qualified GPs completing their experience training at the House Partnership are encouraged to stay with us as this is helpful to both parties as they know the surgeries and procedures and we build on their experience.
Caterham Valley Medical Practice ((CVMP) – Caroline Towers
· New GPs - Dr Rasha Ameen started in March. Dr Minhal Zar now employed as a salaried GP after completing her GP training with us.
· New Partner - Dr Joseph Wong stepped up from being a salaried GP with us for many years to become a partner from 1st April
· Systems Merger of CVMP Patient Records with the House Partnership Patient Record database - went very well. CVMP system went down as planned at lunchtime on Friday 17th April and came back on the morning of 21st April. Had a couple of teething problems but all quickly resolved. NHS App users will need to reconnect, but it seems more can do it themselves than was previously anticipated. CVMP Patient Champions are available to help patients who are encountering issues.
· CVMP Patient Champions - hold a weekly coffee morning on a Wednesday and undertake various other 'Healthy Living' events throughout the year.
Any Other Business
A member raised the issue about the retention of medical records and the availability of hospital records via the NHS app. This is currently a thorny issue within the NHS. Whilst allergy and medication information may be available across all systems there is no cross access between hospitals and GPs and vice versa. This seems archaic and vested interests may be at play as hospitals seem to guard their ‘ownership’ of patient hospital information closely. Updates on patient treatments from hospitals to GPs are frequently communicated either via Email or mailed letters. This is all scheduled to change as a comprehensive patient medical record across both primary and secondary care is one of the Government proposals to be outlined in the forthcoming King’s Speech this month for the new Parliament. One hopes that we do not repeat the disaster of the comprehensive patient record system abandoned by the NHS in 2002 where some £12 billion+ of public money was spent without any tangible benefit. The cross sharing of medical data across the NHS and private sector was also discussed – this is also a difficult area as the majority of Hip/Knee replacement surgery are now undertaken by the private sector on behalf of the NHS. Consultants operating in the private sector do have access to NHS hospital data.
JC advised that The House Partnership are exploring different research opportunities with different organisations and wanted to reassure patients that all the necessary governance will be followed to ensure patient data is not shared without the patient's consent.
Location of future meetings – the rotation of meetings between the three surgeries was generally welcomed but views were mixed between midday or evening meetings. It was agreed that midday meetings were better in winter and possibly evening meetings in the summer to enable attendance by ‘working’ patients. Nevertheless, our next meeting will be midday at CVMP.
